ShoreTel Sky WebDialer

Overview

ShoreTel is now part of Mitel! Powering Connections ® that are Brilliantly Simple ®.

The ShoreTel Sky WebDialer is an application that enables click-to-dial functionality from the Internet Explorer, Firefox, and Chrome browsers. The use of one-click dialing for all phone numbers displayed in any of the three most commonly used browsers eliminates the time and effort required to manually dial phone numbers when working online. Local, long distance and international telephone numbers displayed on any web page are highlighted in orange (by default), making them easy to find and click.

The easy-to-use functionality of the WebDialer application translates into productivity gains and bottom-line savings. This simple, yet powerful, application eliminates incorrectly dialed numbers and saves seconds every time a user places a call. This adds up to hours saved per year, per employee, which is a considerable time savings when multiplied by the number of staff making outbound calls across an organization.

Additional Business Uses

Businesses that rely on the Internet for sales, research, purchasing, customer support, etc. may discover many uses for the ShoreTel Sky WebDialer application. For example, a simple spreadsheet containing names, addresses, and phone numbers can be saved as an HTML file to function as a directory that provides one-click dialing. The WebDialer application can also be integrated into web-based CRM systems. Web developers can also create customized web pages with hot-linked text and graphics that dial designated phone numbers with just one-click.

Requirements

Chrome

This section of the article provides installation, configuration, and instructions for using ShoreTel Sky WebDialer with the Google Chrome browser.

Installation

Prior versions of ShoreTel Sky WebDialer, beginning with a 1 (e.g., 1.x.x), and any version of ShoreTel Sky Plug-in for Chrome, must be uninstalled before installing this version of WebDialer (2.x.x). This installation file will not continue if it detects an incompatible prior version already installed.

  1. Open a Chrome browser.
  2. Right-click the following link and select the "open link in new tab" option: Google Chrome store
    • Note: Just left-clicking the link above will direct you away from this article and you will have to use the browser's back arrow button to navigate back to this article.
  3. Search for "ShoreTel Sky Web Dialer" and install the app.
  4. When the installation is completed, the ShoreTel "S" icon shown in the following image is added to the top-right corner of the Chrome browser:

Configuration

  1. In the top-right corner of the Chrome browser, click the "S" icon
  2. Select "Settings" or "Options" (depending on whether you left-click or right-click the icon).
  3. In the dialog that opens, enter your ShoreTel Sky phone number and phone/voicemail PIN, as shown in the following image:

  1. Click OK.

Test WebDialer Functionality

  1. Open a new Chrome browser window
  2. Browse to www.google.com or any other search engine
  3. Search for "business phone numbers"
  4. You should see a list of business with phone numbers that are highlighted in orange
  5. Clicking any of the orange highlighted phone numbers will place a call using your ShoreTel Sky phone

    Usage

    Use the ShoreTel Sky WebDialer in the Chrome browser to search for phone numbers. All phone numbers should be highlighted in the default orange color. Each highlighted number is a link you can click to place a call using your ShoreTel Sky phone.

    If a web page displays phone numbers that are not highlighted and not dial-able, right-click and select Web Dialer Rescan Page from the pop-up menu that appears.

    Note: If a phone number that is displayed on a web page is also a hyperlink, Web Dialer will open the link, but an error will be displayed and the phone number is not dialed.

    Firefox

    This section of the article provides installation, configuration, and instructions for using ShoreTel Sky WebDialer with the Mozilla Firefox browser.

    Installation

    Prior versions of ShoreTel Sky Plug-in for Firefox must be uninstalled before installing this version of ShoreTel Sky WebDialer.

    1. Close all Firefox browser windows and tabs except for the one displaying this article.
    2. Right-click the following link and select the Open Link in New Tab option: https://addons.mozilla.org/en-US/firefox/addon/shoretel-sky-web-dialer
      • Note: Just left-clicking the link above will direct you away from this article and you will have to use the browser's back arrow button to navigate back to this article.
    3. Click the + Add to Firefox button in the bottom-left corner of the new tab that opens.
    4. In the screen that opens, click the Install Now option, shown in the following image:

    1. When installation is complete, click the option to restart Firefox (or manually close all Firefox browser windows and then open a new Firefox window).
    2. To verify that ShoreTel Sky WebDialer is installed, click the Firefox settings menu and select Add-ons,
    3. In the Add-ons window, select Extensions, and you will see ShoreTel Sky Web Dialer listed to the right, as shown below (note that the version number may be different than what is shown in the following image). The presence of Disable and Remove buttons indicates the application is installed.

    Configuration

    1. Click the Firefox settings menu and select Add-ons.
    2. In the Add-ons window, select Extensions
    3. Find ShoreTel Sky Web Dialer and click the Options button.
    4. In the dialog that opens, as shown in the following image, enter your ShoreTel Sky phone number and phone/voicemail PIN.

    2. Close all open Firefox browser window and relaunch Firefox to use WebDialer.

    1. Open a new Firefox browser window

    1. Close all IE (Internet Explorer) browser windows and tabs except for the one displaying this article.

    3. Click the Download button in the bottom-left corner of the tab that opens.
    4. In the pop-up dialog that opens, click the option to save the Sky-WebDialer-Install-for-IE-v2.0.8 (.zip) file to your computer.
      • Note that downloaded files are normally saved in your Downloads folder by default.
    5. Right-click the downloaded Sky-WebDialer-Install-for-IE-v2.0.8 file and select the option to Extract All files.
    6. Run (double-click) the extracted file named "WebDialerEXE" and follow the prompts in the ShoreTel Sky WebDialer Setup Wizard that opens.
      • The wizard first checks for the existence of the required Microsoft .NET Framework 4 software. If not found, it will prompt you to follow a Microsoft link for installation. If you know that this software is missing, you can perform the .NET Framework installation by going to http://go.microsoft.com/fwlink/?LinkId=186913.
    7. When the Welcome screen appears, click the "Next" button.
    8. When the License Agreement screen appears, select the "I Agree" radio button and click the "Next" button.
    9. Click the "Next" button several times when each screen of the setup wizard appears. The only installation screen that provides for user customization is the "Select Installation Folder" screen, as shown in the following image, where you may choose an installation folder other than the default folder.

    1. When installation is complete, click the "Close" button.
    2. Close all open IE browser windows.
    3. Open a new IE window.
    4. The first time IE is opened after installing ShoreTel Sky WebDialer, select "Enable" when the "WDBHO.WebDialer" pop-up appears at the bottom of the IE browser window, as shown in the following image:

      • Note: If you accidentally click "Don't enable," or close the pop-up shown above, do the following:
        1. In IE, click the gear icon, or select Tools from the menu bar, then select "Manage add-ons"
        2. Make sure "Toolbars and Extensions" is the selected Add-on Type
        3. Right-click WBDHO.WebDialer and select the Enable option
    5. Close all open IE browser windows and re-open IE. ShoreTel Sky WebDialer should now be fully installed and active on your computer.

    Configure IE "Command Bar"

    Note: The instructions below were created using IE (Internet Explorer) 11. The exact menu locations and/or descriptions of options may vary somewhat when using an older version of IE.

    When WebDialer is installed, it adds the ShoreTel "S" icon, Mitel Icon, to the IE "Command Bar" as shown in the following image.

    The Command Bar displays in the right-most area of the toolbar near the top of the browser. If you do not see any items in this area, the Command Bar may be hidden. Right-click anywhere in the toolbar area near the top of the IE browser and make sure "Command Bar" is selected, as shown in the following image:

    When the Command Bar is displayed in IE, if the "S"l icon is still not visible, as shown in the following image, or if you want to change how the "S" icon appears in the Command Bar, perform the following:

    1. Click the >> located in the rightmost area of the Command Bar. If WebDialer was successfully installed and enabled, you should see the "S" icon, Mitel Icon , in the pop-up area immediately below the Command Bar.
    2. Right-click any item within the Command Bar area, select "Customize," then select "Add or remove commands," as shown in the following image:

    3. In the Customize Toolbar dialog that opens, as shown in the following image, select Web Dialer and click the "Move Up" button one or more times to move the Web Dialer above other items so it will always be displayed in the Command Bar (without having to click >>):

    4. Click the Close button to close the Customize Toolbar dialog.
    5. If the "S" Mitel Icon icon displays in the Command Bar, but the words "Web Dialer" do not appear, you can change this setting by doing the following:
      1. Right-click any item in the command Bar
      2. Select "Customize"
      3. Select "Show all text labels"

    Configure Basic Settings

    Before using ShoreTel Sky WebDialer for the first time, several settings must be configured to enable this application to use your ShoreTel Sky phone number to place calls. Use the instructions below:

    1. Click the Web Dialer icon in the IE Command bar
    2. Select the Settings option, which opens the ShoreTel Web Dialer Settings dialog
    3. In the top-half of the dialog, select the check box next to ShoreTel Sky
    4. In the bottom-half of the dialog, make sure the Settings tab is selected and enter your ShoreTel Sky phone number and phone/voicemail PIN in the ShoreTel Phone Number and Password fields
    5. Click the Save button
    6. Close all open IE browser windows, then reopen IE to use WebDialer

    Configure Advanced Settings

    To configure advanced settings like changing Dialing Codes and disabling WebDialer functionality from a list of excluded web pages, use the instructions below:

    1. Click Web Dialer in the IE Command bar
    2. Select the Settings option, which opens the ShoreTel Web Dialer Settings dialog
    3. To change Dialing Codes, in the bottom-half of the dialog, select Dialing Codes tab, select the "Use custom values" check box, and change the desired settings
    4. To change Exclusions settings, in the bottom-half of the dialog, select Exclusions tab, type the desired web site URL, and click the Add button (and repeat to add more web sites). Use the Del button to remove existing web sites when previously added sites are no longer needed.
    5. Click the Save button

    1. Open a new IE browser window
    2. Browse to www.google.com or any other search engine
    3. Search for "business phone numbers"
    4. You should see a list of business with phone numbers that are highlighted in orange
    5. Clicking any of the orange highlighted phone numbers will place a call using your ShoreTel Sky phone

    If a web page displays phone numbers that are not highlighted and dial-able, select the Rescan Page option after clicking the "S" Mitel Icon Icon in the IE Command Bar.

    The following are options you can set in the ShoreTel Web Dialer Settings dialog:

    To change settings:

    1. Click Web Dialer in the IE Command bar
    2. Select the Settings option, which opens the ShoreTel Web Dialer Settings dialog
    3. In the bottom-half of the dialog, select the Settings tab and all desired options.
    4. Click the Save button
    5. Close all open IE browser windows

    Limitations

    Not all phone numbers can be processed into links by WebDialer. Note the following limitations of click-to-dial technology, where WebDialer will not create links:

    FAQs

    Q: All 10-digit numbers are highlighted as phone numbers in the browser window. Is there a way to keep this from happening?
    A: ShoreTel Sky WebDialer is designed to highlight each 10-digit number as a phone number. To disable the automatic highlighting of 10-digit numbers, open the settings dialog and for Chrome or Firefox, remove the check mark next to Web Dialer Links, and for IE, select the check box next to Disable Web Dialer Links. See the Configuration section above for the desired browser type. After disabling the highlighting of 10-digit numbers, you can manually highlight a phone number and use the right-click menu to select the desired Web Dialer option.

    Q: What kinds of numbers is the ShoreTel Sky WebDialer compatible with?
    A: The ShoreTel Sky WebDialer is compatible with long distance and local telephone numbers. International phone numbers are currently unsupported using this application.

    Q: For IE browsers, what does it mean when I click the ShoreTel Sky icon and see the message 'Authorization or Authentication failed'?
    A: This error means you are not logged into the application with your phone number and phone/voicemail PIN. To log in, select Web Dialer in the command bar of your browser and select the Web Dialer Settings option and enter your ShoreTel Sky phone number and phone/voicemail PIN. If you do not see your command bar, in your IE browser's menu bar, select View > Toolbars > Command Bar.

    Q: I currently use another click to dial application on the same computer I wish to use the ShoreTel Sky Webdialer on, will this work?
    A: 
    If another click to dial application is in place, it is likely that a link will not be generated. We advise uninstalling other click to dial applications, or disabling them, however this will work best if no other click to dial application is present on the user's computer.
