Configuring Notification Preferences

ShoreTel sends notification emails for certain events that occur within the ShoreTel Connect Portal that impact your ShoreTel Connect CLOUD account. If you are a Decision Maker, Phone Manager, or Billing Contact, you can choose to batch notifications to reduce the number of notification emails you receive, or you can choose to opt out of receiving notifications of a particular type. If you are a Decision Maker or a Phone Manager, you can also configure the notification preferences for other users on your account.

Notification emails are sent to the business email address assigned to you in the ShoreTel Connect Portal. For information on viewing or changing this email address, see Editing Personal Information.

The following table describes the types of notification emails for which settings can be configured, depending on your role.

NOTE: Notification preferences are only available for Decision Makers, Phone Managers, and Billing Contacts; ShoreTel Connect users who are not assigned one of these roles cannot configure notification preferences.

Phone Number UpdatesTransfer Request UpdatesIncludes notification emails regarding phone number transfer requests, including changes in the status of a request and addition or removal of phone numbers from a request.

Service Updates

Requested by me or about my services

Includes notification emails regarding service and order status changes that were requested by you or impact your services.

Add Service

Includes notification emails regarding the following:

  • Adding profiles, locations, and orders
  • Activating add-on features for users

Change Service

Includes notification emails regarding the following:

  • Move orders
  • Price changes
  • Updates to partner access
  • Updates to add-on feature settings

Close Service

Includes notification emails regarding the following:

  • Close orders
  • Closing profiles
  • Disabling add-on features for users

Service Provisioning Date Update

Includes notification emails regarding changes to service provisioning dates.

User Updates

Other changes requested by me or about my user account

Includes notification emails regarding the following when the action was requested by you or impacts your services:

  • Adding and deleting users
  • Adding ShoreTel Connect client users
  • Changing, recovering, and resetting portal passwords and phone PINs

User Management

Includes notification emails regarding the following when the action was not requested by you and does not impact your services:

  • Adding users
  • Deleting users
  • Adding ShoreTel Connect client users

User Security Updates

Includes notification emails regarding changing, recovering, and resetting user portal passwords and phone PINs.

The type of notifications you receive and the type of notifications for which you can configure preferences depends on your assigned role. Location-based Phone Managers only receive notifications for events that impact the location for which they are assigned the role of Phone Manager; changing their notification preferences only impacts those applicable notifications.

NOTE: If a new role is assigned to you which reduces your options for configuring notification preferences, your preferences are updated automatically as needed to conform to your new role. A one-time notification email of all queued notifications is sent to you when the change is made and the new preference setting takes effect immediately.

To configure notification preferences

  1. From the ShoreTel Connect Portal, do one of the following:
    • To configure your notification settings, on the Home menu, under Settings, click Personal Information.
    • To configure notification settings for another user, click Users on the Phone System menu, and then click the name of the desired user in the Contact Name column.
  2. On the Personal Information page, click the Notification Preferences tab.
  3. Locate the category for which you want to change the setting, and click the current frequency setting.
  4. In the drop-down list, select the frequency with which you want to receive notification emails for the selected category.
    • Don’t Send - to opt out of receiving emails for the selected notification category.

      This option is not available for the Requested by me or about my services category or the Other changes requested by me or about my user account category.

    • Send Immediately - to immediately receive a notification email each time one is triggered for the selected category; the notification emails will not be batched.

      This is the default option for the Requested by me or about my services category and the Other changes requested by me or about my user account category.

    • Daily - to batch notifications for the selected category into a daily email; daily emails are sent at 4:00 AM local time and contain all notifications for the selected category from the previous 24 hours.
    • Weekly - to batch notifications for the selected category into a weekly email; weekly emails are sent at 4:00 AM local time each Monday and contain all notifications for the selected category from the previous week.

      This is the default option for all categories other than the Requested by me or about my services category and the Other changes requested by me or about my user account category.

  5. Click to save your changes.
